Multi-company Clients & Renaming "Clients" and "Companies"

This is an update many of you have been waiting for!

Add multiple companies to clients

This is a premium feature available to customers on the Professional, Advanced, and Enterprise plans. Starter plans can add one company per client.

If you are on an upgraded plan with companies enabled, you can now assign up to 30 companies to a single client. When you assign forms, contracts, and invoices, you now select which specific client/company combination will receive the request in their portal.

We’ve seen so many different businesses take advantage of the flexibility and customizability of clients in multiple companies. Some examples of how our customers are using us:

  • Accounting firms handle both personal and business taxes for their clients and want to separate the forms and files for each entity.

  • Marketing and creative agencies are running campaigns for a client who manages multiple brand teams (”Pepsi”, “Doritos”, “Aquafina”) and want to differentiate the experience per brand.

  • A real estate company’s clients are brokers or management firms who want to be associated with different housing properties.

Let clients easily switch between their companies

Few things are more frustrating than asking a client to manage multiple logins to different services. Now, your clients who are part of multiple entities or companies get one login — and can seamlessly access all their companies that work with you.

They now see a new primary sidebar that lets them switch between companies, with notifications specific to their company.

Rename “clients” & “companies”

This feature is available to everyone! Companies are simply a way to group clients and separate their information to improve the client experience as well as your management experience. You can now rename the terms “client” and “company” in the Terminology section of your settings to best fit your business’ needs.

These changes will be reflected throughout your internal user experience and some smaller areas of your client’s experience. Check out this interactive demo to see how it works.

I’m glad this feature is here now!

Question: Many of us needed to “make do” with the old system even when there were clients with multiple companies and sometimes that means uploading company files under their individual channel.

Migration Question - If I now want to place historical tax files under company specific files tabs, is there a way to do so without notifying the client of new uploads (as I think that might be alarming or confusing to some clients).

Also, if a client only has one company attached to them, how come the bar on the left doesn’t show a split between personal and company allowing you to switch between views as shown in one of the images above. This is problematic because it would be good to have this split available even if a person only has one “company” under their control.

Hi, @Andrew_Lowe! Thank you for reaching out and for sharing your feedback. We completely understand the need to migrate files to your client’s new company channels without alarming them. I’m happy to share that we’ll soon be releasing a feature that allows you to temporarily disable client notifications. With this, you’ll be able to migrate files seamlessly without clients receiving alerts.

At the moment, if a client is only associated with one company, they will have a single view, since that client is tied directly to that company. Each additional company a client is assigned to creates a new client entry in your admin view. For example, if a client belongs to three companies, you’ll see three distinct entries for them. So with one company, the UI remains as it is today. Once you assign them to another company, a second client entry will be created for that company.

I understand your interest in having a split view even when a client is only connected to one company. With the way things are currently structured, this isn’t possible, but I’ve shared your feedback with our team. Please don’t hesitate to share any other ideas with us . Does this change the API any?

if a client is assigned to more companies that on screen, you cannot scroll through them and select.

You can only select the companies that are on screen, we cannot use this feature until this is sorted

Migration question - as we think through how we will process adding companies to existing clients and moving files for those companies, I’m wondering how we will handle moving invoices, receipts, and subscriptions to another company. Will we need to cancel active subscriptions and recreate them in the new company in order to move them? Will there be a “move” option down the road? Thanks for your help!

What do these numbers indicate when next to the company for a multi-company view?

They do not seem to relate to any notifications and they don’t seem like shortcuts like CTRL+1 to switch to that company

@Wayfinder_Admin Thanks for reaching out! At this time, we don’t have a way to migrate existing invoices and subscriptions. Because of how these are structured in our backend, migrating them isn’t possible—new subscriptions will need to be created instead.

That said, we’re releasing a feature that lets you temporarily disable client notifications, so you’ll be able to migrate files seamlessly without clients receiving alerts. You can also take advantage of the duplicate file feature to add files to different channels.
