Automatic reminders to clients, task archiving

We would love to have the functionality for Copilot to send automatic reminders to clients who have a contract to sign, task to complete, new message waiting, or form to complete. Maybe this could be a setting that is activated under App Setup? “Send auto-reminder after X days”, etc. Automatic reminders would save us a lot of time in reminding clients via messaging.

We would also love the ability to archive a task from the main Tasks page. Maybe a flyout box on each task like Trello rather than opening the task to archive?

This quarter we have a project planned to ship reminders for all apps! They’ll be automatic and we also will have an indicator that shows when the last reminder went out.

Thanks for the feedback on archiving a task from the homepage! We hear your request and will consider how to best include this functionality in the future!

Would you also want to be able to delete a task from the homepage? Or are there any other actions that you’d like to take beyond archiving a task?

I’d also love to be able to sort the Done list by either ascending or descending and chose one as default.
If a flyout menu was added to the corner of each task on the task homepage it would be cool for the options to be:

  • Archive Task
  • Copy/Duplicate Task
  • Delete Task
  • Change Status
  • Send reminder
  • Rename Task

Will they be controllable at our end.

I find there is a cultural thing around reminders - I often find that American software has default reminders set at a frequency that we here in the UK consider rude/harassment. Most software does tend to allow us to override the default interval.

I think ‘Task Templates’ we can set up for reuse with different clients and minor alterations would be useful.

We always try to get something out early and then try to make it better vs trying to ship the perfect thing. So most likely we’ll get non-customizable reminders out first and then follow-up with improvements after. Feedback heard lout and clear though – we’ll make sure the initial default strikes the right balance.

Task templates in the Tasks App? We have those out already. Let me know if I’m misunderstanding.

I’ve probably just missed it, just getting started we are hoping to make all our Todo’s via API triggered from our CRM.

I’ll have another look, I couldn’t see a way to add custom fields/links for templates etc. probably just not looking hard enough.

I think initially if we can’t customise just the ability to turn them off entirely would be enough.

As we are looking to create most things via API from our CRM it’s possible for us to have the CRM send the reminders it would just be better to have copilot to avoid any reminders going out for things already completed

I had a better look at that and I think maybe we have crossed wires on what we would consider a Template.

The templates as they are are just saved subject line and text. When I mean a template I suppose I meant custom fields - so if we had a template to ask a client to sign an e-signatur document using our software provider rather than the copilot contracts app - for example we would have a field for the link.

That way, we can use the api in our CRM system to create the to-do for the client with a clear link and when they sign it our CRM would again use the status change in our CRM to change the to-do status in Co-Pilot.

We can of course just set it up to all go into the free text field - but sending this stuff via API, from one system to another I always worry the formatting will get messed up and either links will break or it will be hard to read, follow, or just look ugly etc.

So apologies I don’t think I expressed myself very well - I was really meaning custom fields, so that we can map things a bit cleaner from systems outside of copilot via API like our CRM for example.
