Tasks with multiple assignees and recurring tasks

Hello! Is it possible to add more than one assignee to a task? I don’t want to assign the task to an entire organization. For example, if I have a draft document that needs to be reviewed by two senior staff, is there a way to assign the same subtask to both of them? This would be preferable to creating a separate subtask for each of them.

I’m also wondering if it is possible to set up a recurring task (for example, for a process that happens every Friday).

Multiple assignees

A task can only have one assignee today. Parent tasks can go to an internal user, a client user, or a company (a group of clients), and subtasks follow the same rules, so you can split a parent task into subtasks assigned to different people, including a mix of internal and client users. Assigning the same task to two people at once isn’t supported yet.

If that’s a blocker for your workflow, reply here with whether you’d want multi-assign for internal users, client users, or both, and we’ll factor it into the feature request.

Recurring tasks

Yes, via Automations. Create a workflow with the Scheduled time trigger, toggle Recurring on, set your frequency, then add the Create a task action and pick your task template and assignee.

Two things to know:

  • You need a task template created first, since the action pulls from existing templates.
  • With the Scheduled time trigger, the action applies to all active clients or all active companies depending on how it’s configured. Great for a process that should run across your whole client base, not a fit for a single recurring task for one person or client.

For a narrower scope (a subset of clients or internal users), you can do it through the API with Zapier or Make.

Thanks, @brittany ! Yes, it would be really helpful for our workflows to be able to multi-assign tasks (more than one user but less than an entire company). In most use cases that I can think of right now, I’d need to assign a task to multiple internal users OR multiple clients from the same company. I can’t think of current use cases where I’d need to assign a task to both an internal user and a client, or to assign a task to multiple clients from different companies. Thank you for filing a feature request!
